“Can you reset my password?”

“I can’t find the VPN link.”

“Is SharePoint down?”

These aren’t complex problems. They don’t necessarily take a lot of time. They’re just constant. And they’re exactly the kind of thing that AI assistants are built to handle.

Think of agents as AI-powered virtual assistants. They live inside your environment (Teams, SharePoint, M365 Copilot, etc.), and they’re trained to answer technical questions, guide users through common tasks, and even automate things like password resets or access requests.

They’re not just chatbots. They’re context-aware, integrated, and capable of doing real work.

And unlike your IT team, they don’t take lunch breaks.

Why IT Teams Are Overwhelmed

Here’s the reality: most IT departments are under-resourced and over-tasked. Especially in small and mid-sized organizations, where the infrastructure is complex but the headcount is lean.

Let’s walk through a real-world example.

Before Copilot:

A user can’t connect to the VPN.

  • They email IT.
  • IT asks for details.
  • They go back and forth.
  • IT sends instructions.
  • The user still struggles.
  • IT schedules a call.

Total time: 45 minutes.

After Copilot:

The user asks the Copilot agent: “How do I connect to the VPN?”

  • The agent responds with step-by-step instructions.
  • If needed, it checks device settings or links to the correct installer.
  • If the issue persists, it creates a ticket with full context.

Total time: 2 minutes.

Multiply that by hundreds of similar requests per month, and you’ve just freed up days of IT time. Yes, they can be that impactful.

What Makes Copilot Agents So Effective?

It’s not just that they’re fast. It’s that they’re smart.

1. Natural Language Understanding

Users don’t need to know what to ask. They just type what they’re thinking, and the agent figures it out. Natural language understanding (NLU) is part of how AI in Copilot works, and it really changed everything.

2. Context Awareness

Copilot agents can be trained on your environment – your systems, your policies, your terminology. That means they give relevant answers, not generic ones. This makes all the difference in the world between products like Chat-GPT, Claude, and something business-specific like Microsoft Copilot.

3. Integration with IT Tools

They can create, update, and close tickets in ServiceNow, Jira, or whatever you’re using. They can trigger workflows, check permissions, and even provision access. AI in business isn’t just about chatting and getting answers. It’s about being a part of your business. Reading from other systems, triggering actions, and taking part in processes.

4. Escalation When Needed

If the issue is too complex, the agent hands it off to a human – with all the context included. No more “Can you forward me the email chain?”

Here’s where agents shine:

  • Onboarding: New hires get instant help setting up accounts, accessing tools, and learning company systems.
  • Software Support: “How do I share a file in Teams?” “Why won’t Outlook open?”
  • Device Troubleshooting: Printers, webcams, Wi-Fi – the usual suspects.
  • Security Awareness: MFA setup, phishing education, password hygiene.
  • Policy Enforcement: “Can I use Dropbox?” “What’s the data retention policy?”

They’re not just answering questions. They’re enforcing standards, reducing risk, and improving user experience. Common questions, invaluable time savings, and supporting users right when they need help.

What Makes a Good Agent?

Not all agents are created equal. If you’ve ever used a chatbot that felt like talking to a brick wall, you know what I mean.

A good Copilot agent should:

  • Be trained on your specific environment
  • Integrate with your existing tools
  • Be easy to update and maintain
  • Provide clear escalation paths
  • Offer analytics on usage and performance

And most importantly: it should actually help users. I’ve talked to many chatbots over the years that felt like an AI version of a automated phone system. I never find what I’m looking for, and I just get frustrated and give up.
