How To Use The SharePoint FAQ Web Part With Copilot

If you’ve ever built a SharePoint page and found yourself stuck crafting a decent FAQ section – figuring out what questions to include, how to organize them, and how to make it all look clean – Microsoft just made your life a whole lot easier.

The new FAQ Web Part in SharePoint, powered by Copilot, is a deceptively simple feature that packs a serious productivity punch. It’s currently in public preview and rolling out to tenants, with general availability expected soon. I’ve spent time testing it across different use cases, and I can confidently say: this is one of the most useful additions to SharePoint in years. Let’s break down what it is, how it works, and why it’s worth your attention.

What Is the FAQ Web Part?

At its core, the FAQ Web Part is a Copilot-powered tool that builds a fully functional FAQ section for your SharePoint page -automatically.
You provide a source document (like a Word file with product specs, event details, or policy notes), choose the context (product, event, policy, or general), and give Copilot a short prompt. That’s it. The AI takes over and generates:
  • Categories
  • Questions
  • Answers
All of it is editable, reorderable, and customizable. You stay in control, but you don’t have to start from scratch.

How To Use It

Add the FAQ Web

Go into edit mode on your SharePoint page, scroll to where you want the FAQ (usually the bottom), and search for “FAQ” in the web part gallery. You’ll see the new FAQ Web Part marked as “Preview.”

Upload a Source File

This is where the magic starts. You upload a Word document that contains the information you want the FAQ to be based on. For the product launch, I used a document about a fictitious drone. For the event, I uploaded a file with logistics for a company celebration at Navy Pier.

Choose the Purpose

You’ll be prompted to select the purpose of the FAQ:
  • Product
  • Event
  • Policy
  • General
This helps Copilot understand the context and tailor the categories accordingly.

Then click the Start button. That’s when the magic happens.

Determine Categories

Copilot reads your document and suggests categories for your FAQ. You get to move them around, edit, or replacce the suggestions.

Once you’re happy, click the “Draft Questions” button and Copilot generates the questions for your FAQ. Same process as before, rearrange, edit, replace as much as you want.

When you’re done, click the Draft Questions button.

You’re all done!

You can click the “Keep it” button to save it all to your web part, or use the Left Arrow to go back and tweak some things in previous steps.

Customization Options

Once the FAQ is built, you can tweak the visual presentation:
  • Change icons (chevrons, plus/minus buttons)
  • Reorder categories and questions
  • Edit answers manually
  • Add or remove items anytime

The final FAQ looks clean, intuitive, and professional. And you barely had to type anything.

Updating FAQs

One of the best parts? You can regenerate the FAQ anytime by uploading a new document. This is manual (not automatic), but it’s fast and efficient.
Let’s say your product specs change or your event details get updated. Just upload the new file, and Copilot rebuilds the FAQ with fresh content.
This keeps your SharePoint pages current without the usual hassle.

Licensing Requirements

Here’s the licensing breakdown:
  • The person who adds or configures the FAQ Web Part needs an M365 Copilot license.
  • Regular users who view the FAQ do not need a license.
So if you’re the page builder, make sure you’re licensed. Everyone else can enjoy the benefits without any extra cost.

Real-World Use Cases

Let’s talk about where this shines.

Product Launch Pages

You’ve got a new product. You’ve written up the specs. Now you need an FAQ. Instead of guessing what customers might ask, let Copilot analyze your document and generate the most relevant questions.
It’s fast, accurate, and saves you hours.

Event Pages

Planning a company event? Upload your logistics doc, and Copilot will build an FAQ covering travel, registration, venue, and more. You can even tailor the prompt to focus on specific areas.

Policy Pages

Got a new HR policy or IT guideline? Use the FAQ Web Part to break it down into digestible Q&A format. It’s a great way to make dense documents more accessible.

SharePoint is a powerful platform, but building pages can be time-consuming… especially when it comes to FAQs. This new web part flips the script.

Instead of spending hours writing, formatting, and organizing, you spend minutes guiding Copilot. The result is a polished, user-friendly FAQ that looks like it took days to build. And because it’s grounded in your own documents, it’s accurate and relevant.
